1. How HireQ differs from a job board
| Job board habit | HireQ approach |
|---|---|
| Post a description and wait for applicants | Post a governed job: a canonical title plus confirmed requirements (skills, weights, target levels) |
| Keyword-filter a pile of resumes | HireQ scores candidates against your confirmed requirements using validated evidence, and explains each score |
| Phone-screen everyone | Candidates who consent take a job-specific AI assessment (text, audio, or video); you review transcripts, scores, and recordings |
| Trust self-reported skills | Every score shows fit, evidence, and suitability, and flags contradictions |
| Software rejects people automatically | Never. The AI does not move pipeline status, reject, or hire. You do, and overrides are audited |
Both paths exist side by side: people can still apply to published jobs (Pipeline), and HireQ can present opportunities to strong matches who did not apply (Hiring tools).
2. Create your account
- Open the portal → Create account.
- Select Recruiter (hiring team).
- Enter full name and email, tick I agree to the Terms and Privacy Policy, submit.
- Set your password from the email link (rules in §3.1), then sign in.
Admins are not created this way.
Company invite: if a teammate invited you, register or sign in as a recruiter, then open the invite URL (/recruiter?invite=…) while signed in. HireQ attaches you to that company.
3. Signing in, passwords, and two-factor authentication
3.1 Password rules
At least 10 characters, not only numbers, and not your email address. Applies to the setup link, reset links, and Settings → Account → Change Password.
3.2 Signing in
Email + password → Sign in. If 2FA is on, HireQ asks for an Authenticator code; enter the 6-digit code and sign in again. Too many attempts in a minute show Rate limit exceeded; wait a minute.
Forgot password? emails a single-use reset link.
3.3 Two-factor authentication (optional, recommended)
Settings → Account → Authenticator app (2FA)
- Set up 2FA → add the secret key to your authenticator app (or tap Open in authenticator app on a phone).
- Enter the 6-digit code → Turn on 2FA. Status shows On.
- To turn it off: enter your current password and a current code → Turn off 2FA.
Lost your device? There are no recovery codes yet; contact HireQ support to reset 2FA after identity checks.
Because you can see candidate personal data, we strongly recommend turning 2FA on.
4. What you see after login
URL: /recruiter or /recruiter?section=<id>. Job routes: /recruiter/jobs/new, /recruiter/jobs/{id}/edit.
| Sidebar | What it is for |
|---|---|
| Dashboard | Counts and pipeline buckets for recent activity |
| Jobs | Your postings: create, edit, delete, open applications, analytics shortcut |
| Candidates | Talent search and shortlists — only if Candidate Search is purchased (hidden otherwise) |
| Pipeline | Applications for a selected job: status, bulk update, export, interviews, offers |
| Interviews | Human calendar interviews across your jobs |
| Analytics | Funnel for one selected job |
| Billing | Subscribe / purchase recruiter services, payment history |
| Emails | Company logo and hiring-email copy |
| Settings | Your profile, company, employers, team seats, password, 2FA |
Also: top + Create Job; global search (candidates if entitled, otherwise your jobs); bell notifications (applicants, withdrawals, interview responses, billing, strong matches); English / French; sign out.
5. Company, employers, and teammates
Open Settings.
| Block | What you can do |
|---|---|
| Recruiter profile | Full name, job title |
| Company | Name, website, description |
| Employers | Add/edit hiring brands. Jobs link to an employer. No delete in the UI |
| Team seats | Invite by email; list members. Teammates share jobs, pipeline, and matching. No in-company roles and no revoke-seat UI |
| Account | Change password, send reset link, 2FA |
Company logo and hiring-email copy live under Emails. Creating your first job auto-creates a company if none exists.
6. Post a job (quality and hiring tools)
HireQ does not treat a job as "just a description." Publishing is gated by Job quality and the hiring specification.
6.1 Create (/recruiter/jobs/new)
- Jobs → Create job.
- Fill in:
- Title + optional Suggest titles
- Canonical taxonomy title (required for a complete specification)
- Description, employer
- Employment type, work model, application deadline
- Location / region, city, province/state
- Skills (mark required vs desired)
- Status:
draft/published/closed
- Save as draft while incomplete.
- The Job quality panel shows readiness % and gaps; Fix in form jumps to a field.
Pay, benefits, and number of openings are not on the posting form.
Hiring tools are on Edit only. Save a draft first, then edit it.
6.2 Publish gates
Setting status to published requires both:
- Job quality — required fields complete and readiness at or above the threshold (default 60%). Otherwise: "This job is not ready to publish. Review the quality checklist and fix gaps."
- Hiring specification — canonical title, at least one confirmed requirement, no leftover proposed requirements, and location or work model. Otherwise: "Hiring specification is incomplete. Open Hiring tools…"
6.3 Hiring tools (use this order)
Edit → open Hiring tools.
| Step | Control | What it does |
|---|---|---|
| 1 | Build family baseline | Loads the job family's skills from the active Job Taxonomy as proposed requirements |
| 2 | Confirm each requirement | Confirms it (adjust weight / target proficiency where shown). Proposed rows block publishing |
| 3 | Job-definition interview (optional) | Describe the role's outcomes in a short AI conversation; HireQ stores job evidence and may suggest posting updates |
| 4 | Suggested posting updates | Approve writes into the posting; Reject keeps the current value |
| 5 | Matching report | After confirming and publishing, Recalculate scores candidates |
| 6 | Present opportunity | Invites a matched candidate to consent to a job-specific AI assessment (see §7) |
| 7 | AI package / Compare / Override | With trust insights (on by default): read the package, compare 2–4 candidates, override with a written reason (audited) |
Changing the canonical title later resets the specification; re-confirm requirements before publishing again.
6.4 List actions (Jobs)
Applications (opens Pipeline for that job), Edit, Analytics, Delete.
7. Matching, opportunities, and AI assessments
7.1 Reading the Matching report
| Column | Meaning |
|---|---|
| Fit | How well the candidate's scored skill levels meet your target levels, weighted by requirement |
| Evidence | How much verified evidence (validation answers, assessments, resume) backs those skills |
| Suitability | Fit adjusted by evidence — the headline score |
| Recommendation | recommended, needs_review, or insufficient_evidence with a plain-language explanation |
"Insufficient evidence" means "not proven yet", not "unsuitable". Presenting an opportunity is how you get more evidence.
7.2 Presenting an opportunity
- In the Matching report, choose a candidate → Present opportunity.
- The candidate gets a notification and sees the opportunity under Interviews.
- They consent and pick Text, Audio, or Video, or decline.
- They complete a job-specific AI assessment built from your confirmed requirements. They can pause and resume.
- The matching report updates with consent status and new evidence.
Presenting does not create an application or change any status. Depending on admin settings, HireQ may present opportunities automatically to strong matches; candidates must still consent.
7.3 AI package, compare, override
- AI package — fit, evidence, highlights, and inconsistency flags (evidence that contradicts a claim).
- Compare — 2–4 candidates side by side.
- Override — change a recommendation or skill score (1–10). A reason is required and recorded in the audit log, visible to HireQ admins.
8. Reviewing AI interviews and recordings
Open a candidate's profile — Pipeline → Details for applicants, or Candidates → View with Candidate Search. Scroll to Interviews and click a session button (for example Job interview #42).
Each review shows:
- Purpose, status, and job
- Recording player for audio/video sessions (or "No audio or video recording is available for this interview.")
- Every question and answer, plus how the answer was stored on the profile
What you can see:
| Session type | Who can review |
|---|---|
| Job assessment for your job | Your company's recruiters |
| Candidate Profile assistant / skill validation | Recruiters with paid Candidate Search |
Recordings:
- Stored privately and played through short-lived links. Reload the review if playback stops after a while.
- Deleted automatically 180 days after the assessment ends. Transcripts and scores stay.
- Candidates are told before choosing audio/video that the session is recorded.
- Do not download, re-record, or share recordings outside your hiring process.
There is no live recruiter seat in the AI room; review happens afterwards.
9. Pipeline (applications you received)
This is the ATS for people who applied. Opportunities are a separate path (§7).
- Pipeline → Select job.
- Each row: checkbox, candidate name, status dropdown, applied date, actions.
- Statuses:
submitted, reviewed, shortlisted, offered, rejected, hired(withdrawnis candidate-owned and not in the dropdown). - Save after a single change; Bulk Update applies to checked rows.
- Export CSV downloads that job's applications.
- Details — profile, cover message, Download Submitted Resume, offer fields, interview reviews (§8). No Candidate Search purchase needed.
- Schedule — date/time on the row (default 30 minutes). Add location/link under Interviews → Edit. The candidate is notified; an ICS file is attached when email is on.
- Send offer — from the row or Details (salary text + notes in Details). Status becomes
offered; the candidate accepts or declines.
Dashboard buckets: Applied = submitted, Screening = reviewed, Interview = shortlisted, Offer = offered, Hired = hired.
10. Interviews (human calendar, not the AI room)
Interviews lists every interview you scheduled.
- Edit — time, location or link, status (
scheduled/completed/cancelled) - Cancel — removes the interview and notifies the candidate
Put a Zoom/Meet/Teams URL in location or link for a video call. HireQ does not create meetings or sync calendars.
11. Candidates (paid search)
Visible only with an active Candidate Search purchase (Billing). Without it the section shows a Billing prompt.
- Search by keywords; empty search browses.
- Shortlist with tags; remove from shortlist.
- Save search and replay or delete saved searches.
- View opens the profile, primary resume download, interview reviews, and the trust / evidence panel (readiness, claims, discrepancies). You can override a skill score (1–10) with a reason.
Search is discovery. For a governed job, the Matching report is the better tool.
12. Analytics
Pick a job: views, applications, interviewed, hired, funnel bars, and time to fill when available. No company-wide analytics beyond the Dashboard.
13. Billing (test mode during beta)
HireQ admins define the catalog (monthly subscriptions and one-time services).
- Subscribe (monthly) / Purchase (one-time) opens Stripe Checkout.
- During the beta, use test card
4242 4242 4242 4242, any future expiry, any CVC, any postcode. Real cards are declined in test mode. - After you return, the row shows purchased/active. Renew and Cancel apply to existing purchases.
- Payment history lists date, amount, currency, status.
Typical paid capability: Candidate Search. Trust insights are on by default.
14. Emails
Emails customises hiring messages for your company. Password and billing emails stay HireQ-owned. You need a company first.
- Upload Company logo (image, max 5 MB).
- Pick a hiring message (new application, interview scheduled, team invite, …). custom marks a saved override.
- Edit subject, heading, body, button label; insert merge fields such as
{{job_title}}. - Optionally Show company logo in this email (header shows your logo plus via HireQ). The From address cannot change.
- Preview email → Save template. Reset to default removes your override.
Details: email-setup.md.
15. Policy updates
When HireQ updates its Terms or Privacy Policy, a window titled We updated our Terms and Privacy Policy blocks the workspace until you tick the checkbox and click Accept and continue.
16. Matching and AI — rules of the road
| Do | Do not expect |
|---|---|
| Confirm requirements, publish, then Recalculate | AI to hire, reject, or move pipeline status |
| Present opportunities for consent-based assessments | Presenting to create an application |
| Override only with a reason you would stand behind (audited) | Automatic rejection emails for low scores |
| Treat Matching report and Pipeline as separate tools | Search results to equal evidence matches |
| Review recordings only for hiring decisions | Recordings to be kept forever (180-day limit) |
If the AI service is busy or has reached its daily beta limit, some AI features (suggestions, job-definition interview replies) fall back to simpler behaviour. Matching and scoring of existing evidence keep working.
17. If something fails
| Symptom | What to try |
|---|---|
| "Use at least 10 characters…" | Longer password, not only numbers, not your email |
| "Rate limit exceeded" | Wait one minute |
| Asked for an authenticator code | Open your authenticator app; codes change every 30 seconds |
| Lost authenticator device | Contact HireQ support |
| Policy window appears | Tick the checkbox → Accept and continue |
company.not_found |
Save Company in Settings; first job create also creates one |
| Cannot publish — quality message | Fix Job quality gaps |
| Cannot publish — specification message | Canonical title → Build family baseline → Confirm requirements → retry |
| Empty Matching report | Confirmed requirements + published + Recalculate; candidates need validated skills |
| Candidates menu missing | Purchase Candidate Search (test card during beta); Pipeline Details still works |
| AI package / compare missing | Trust insights entitlement; reload |
| No recording on an interview | Text session, the candidate's audio/video failed, or the recording passed 180 days |
| Recording stops playing | The link expired; close and reopen the review |
| Checkout card declined | Use 4242 4242 4242 4242 — real cards do not work in test mode |
| Checkout succeeded but UI stale | Reload /recruiter |
| Invite failed | Teammate needs a recruiter account; open the invite URL while signed in |
| Schedule button does nothing | Set the date/time on the row first |
| Candidate got no calendar invite | Check spam; ask HireQ if email is working |
